We are seeking a highly organized and dynamic Office Administrator to oversee the day-to-day operations of our medical spa, which features two locations, a team of skilled injectors and aestheticians. The ideal candidate will ensure smooth and efficient operations, exceptional customer service, and adherence to compliance standards. This role is pivotal in maintaining a high-quality experience for both clients and staff.

Pure Medical Aesthetics is a concierge-level medical spa dedicated to delivering natural, balanced, and personalized treatments. We are seeking a detail-oriented and client-focused Front Office Manager to oversee the daily flow of our practice and ensure every guest receives a seamless, luxury experience.
Key Responsibilities:
Oversee day-to-day front desk operations across one or more locations Manage appointment scheduling, confirmations, and follow-ups Greet clients, answer phones, and respond to inquiries in a professional and timely manner Ensure provider schedules are optimized for efficiency and productivity Supervise and support front desk/reception staff, including training and onboarding new hires Maintain compliance with HIPAA and internal policies for patient confidentiality Assist with Good Faith Exam scheduling and required documentation Monitor inventory of front office supplies and coordinate replenishment Support promotional events and client engagement activities as needed
Qualifications:
2+ years of office management or supervisory experience (medical or aesthetics preferred) Exceptional organizational skills and attention to detail Strong communication skills with a focus on client service excellence Proficiency with scheduling software, EMR systems, and Microsoft Office Suite Ability to multi-task in a fast-paced, high-touch environment Availability to work between both Stamford and Norwalk locations as needed
