Job Description
Overview Join our Ford automotive dealership as an Office Manager, where you'll lead the administrative operations protecting the financial and legal integrity of the business. This pivotal role ensures the smooth functioning of daily office activities, supports team coordination, and maintains excellent communication with vendors, clients, and staff. Your proactive approach will foster an organized environment that drives efficiency and enhances customer service. Basics Oversee daily office operations, including front desk management and multi-line phone systems to ensure seamless communication. Supervise administrative staff, providing training and development to foster a motivated and skilled team. Handle vendor management by negotiating contracts, processing invoices via Dealertrack DMS, and maintaining strong supplier relationships. Maintain accurate GAAP accounting, payroll processing, expense review and filing systems to ensure financial integrity and compliance. Oversee human resources functions such as onboarding new employees, managing employee records, and ensuring compliance with company policies. Experience/Responsibilities Proven supervising experience in an office or administrative environment within the automotive strongly preferred. Strong proficiency in Dealertrack DMS or equivalency for bookkeeping and payroll processing. Demonstrated expertise in schedule management, month end financial statements, after sell cancellations/chargebacks, vendor relations, and office management practices. Expertise with floorplan reconciliation, finance reserves, factory reports, payroll processing, deal posting, bank reconciliations, sales tax reporting, quarterly tax reporting & all year end activities alongside with accountant. Prior experience in human resources is advantageous but not required; a strong administrative background is essential. Generate reports and provide financial insights to management and the dealer principal What We're Looking For Proven experience as an Automotive Office Manager (dealership experience required) Strong understanding of dealership accounting processes and compliance Exceptional organizational and analytical skills High attention to detail and accuracy Leadership experience with the ability to motivate and develop staff Professional communication skills across all departments
