Sinto America is comprised of six primary segments, including Foundry Mold and Core Making, Sand Processing, Bulk Material Handling, Automation, Surface Treatment, and Surface Technologies. Wallingford National Peening supports the Surface Technologies division, providing precision shot peening, blasting, and cleaning services. Wallingford National Peening is currently seeking an Office Administrator to join our team in Wallingford, CT. What You Will Do General Manage and maintain the company's accounting and administrative systems. Oversee key office functions including invoicing, accounts receivable, accounts payable, payroll processing, human resource administration, job packages, office supplies, mail, and reporting. Ensure proper documentation, recordkeeping, and compliance with corporate procedures and directives. Serve as an extension of Corporate Finance and HR, supporting policy adherence and communication requirements. Support continuous improvement initiatives across administrative and operational functions. Assist the Vice President and Plant Manager with administrative duties and special projects. Accounting & Finance Set up and maintain the bookkeeping and reporting system. Process customer invoicing, accounts receivable, and collection activities. Process vendor invoices and generate payment checks. Process payroll, including submission of information to Paylocity. Prepare monthly financial reports for Corporate, the Vice President, and the Outside Accountant. Respond to Corporate or Accountant inquiries; report any unusual transactions or concerns as needed. Office Administration Maintain a clean and organized office environment, including the front lobby. Answer phones promptly and courteously. Type and prepare miscellaneous correspondence. Human Resources Maintain personnel files and track performance appraisal dates. Assist with documenting personnel issues, policies, and procedures. Prepare new hire packets, benefit information, and conduct orientation. Assist with job posting, recruiting coordination, and placement activities. Communicate employee‑related updates and concerns to Corporate when appropriate. Shop Paperwork Create job packages (invoice, worksheets, packing slips). Review completed shop paperwork for accuracy and file appropriately. Coordinate record storage with Iron Mountain. What We Want From You Bachelor's degree (B.S./B.A.) or Associate's degree (A.A.) plus two years of relevant experience, or equivalent combination of experience and education. Proficiency in Microsoft Office , QuickBooks , Access , and Excel . Familiarity with ISO‑9001 , ISO‑13485 , and Nadcap certifications preferred. Strong written and verbal communication skills; ability to communicate effectively with customers, employees, and corporate personnel. Solid mathematical and reasoning skills; ability to manage standard accounting calculations and interpret business metrics. Ability to maintain confidentiality, prioritize tasks, and operate independently in a fast‑paced environment. Candidate must be eligible to work in the United States and provide documentation compliant with ITAR regulations.
