POSITION SUMMARY
The Front Desk Office Manager serves as the hub of the organization, managing front desk operations, coordinating office logistics, supporting staff across departments, and helping to ensure an exceptional experience for members and guests. The ideal candidate is organized, proactive, detail-oriented, and thrives in a fast-paced environment with multiple priorities.
ROLE & RESPONSIBILITIES
Front Desk & Member Experience
- Serve as primary receptionist and first contact for visitors, members, and callers.
- Welcome congregants, guests, prospective members, and vendors with professionalism and warmth.
- Answer and route incoming calls and emails.
- Maintain a welcoming, organized, and professional reception area. Office Management & Administration
- Manage day-to-day office operations and administrative systems.
- Oversee office supply inventory and vendor relationships.
- Coordinate mail distribution, deliveries, and shipments.
- Assist with building access, visitor management, and security protocols
- Support scheduling and coordination of internal meetings and office functions.
- Maintain administrative records and filing systems. Staff & Departmental Support
- Provide administrative support to senior staff and departments as needed.
- Assist with preparation of materials, correspondence, reports, and mailings.
- Coordinate logistics for staff meetings, trainings, and organizational events. Membership & Congregational Support
- Assist members with general inquiries and requests.
- Support membership processes, including maintaining accurate records.
- Help ensure a positive and responsive member experience.
- Direct congregants to appropriate resources and staff. Facilities & Event Coordination
- Partner with facilities, security, and program staff to support building operations.
- Assist with event logistics, room reservations, and visitor coordination.
- Coordinate vendor access and support operational needs for meetings and programs. Additional Responsibilities
- Participate in organizational initiatives and projects as assigned.
- Support a collaborative and service-oriented culture throughout the congregation.
- Perform other duties as needed to support the mission and operations of WHC.
