The ideal candidate is a proactive problem-solver with an "owner's mindset." He/she must have exceptional written and verbal communication skills, and the ability to multi-task with a proven track record of meeting deadlines in a fast-paced environment. High proficiency in Microsoft Office 365 is essential, specifically One Drive (for file-sharing and storing) and Outlook/Teams (for scheduling and communicating
CORE RESPONSIBILITES
: The Office Manager/Administrator will serve as the primary point of contact for all incoming phone calls, collect and distribute the mail accordingly and manage the central voicemail system to ensure all messages are accurately relayed to the appropriate staff members in a timely manner. In addition, the Office Manager/Administrator will be responsible for creating and maintaining multiple filing systems and organize virtual and in-person meetings (including room setup and agenda preparation).
  • Manage and update complex daily, weekly, and monthly calendars for the office and leadership team
  • Manage business licensing renewals, office equipment leases (printers/copiers) and coordinate repairs or upgrades as needed
Inventory:
maintain and order office and kitchen supplies, ensuring stock levels are optimized to prevent waste
  • Book travel arrangements for leadership staff, including booking flights, hotels and transportation
  • Draft and distribute office-wide memos regarding holidays, office closures and birthday/work anniversary announcements
  • Accurately enter and update data in spreadsheets, databases, and company systems
  • Handle sensitive documentation and records with the highest level of discretion
  • Photocopying, scanning, faxing and handling other routine document processes
