Office Manager Reporting Relationship:
This position reports to the Owners and Director of The Little School at Kids Cottage, LLC.
Job Classification:
Non-Exempt Position Summary As Office Manager, the position requires advanced administrative, organizational, and interpersonal skills, along with the ability to support families and leadership while maintaining compliance with school policies and state requirements. Key Responsibilities Administrative & Operational Clerical Task Management Oversee all administrative processes, including billing, daily receivables, and attendance records. Maintain and organize student, staff, and facility records. Prepare and process all required registration paperwork for students Calculate and submit payroll hours for bi-weekly staff payment. Track and complete time-sensitive tasks (e.g., payroll deadlines, family billing). Maintain enrollment records for the school year and summer camp. Maintain withdrawal records for the school year and summer camp. Communicate with our teachers about changes, additions, or withdrawals to the classroom. Maintain updated allergy lists and distribute them throughout the year. Manage medications and medication logs. Answer phones, greet visitors, and provide families with program information, fee structures, and registration procedures. Conduct school tours and assist prospective families Draft and distribute newsletters, announcements, and other communications to families. Demonstrate advanced computer skills, including Microsoft Office and Google Workspace Ability to manage/support the school's Social Media Business accounts. Integrate students and families into our school app, Brightwheel. Keep all information current and up to date Maintain the Purchase of Care and Child Care Aware programs, paperwork, attendance, and compliance. Check school voicemail daily and respond to messages within 24 hours. Check school email daily and respond to messages within 24 hours. Facilities Managements Coordinate facility maintenance and repair activities to ensure a safe learning environment. Manage inventory and supplies, placing orders as necessary. Keep the office organized, clutter-free, and stocked with required forms and copies. Family & School Community Management Expand your knowledge on Conscious Discipline Maintain excellent communication with families and demonstrate respect for all. Collaborate with staff to ensure smooth execution of school events. Resolve conflicts with colleagues directly and respectfully, creating win-win outcomes when possible. Support the mission and core values of The Little School at Kids Cottage. Promote social and individual growth through positive interactions. Demonstrate flexibility and professionalism when faced with unexpected challenges. Remain calm under pressure, especially when addressing difficult situations (e.g., upset parents, staff conflicts). Required Certifications Maintain current CPR and First Aid certification. Have experience with software-based billing systems and accounts receivable.
Pay:
$15.00 - $20.00 per hour
