Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems, handle incoming calls, and route messages efficiently Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools Perform data entry, proofread documents, and ensure accuracy in all clerical tasks such as filing and record keeping Schedule appointments, manage calendars, and coordinate meetings using various scheduling software Support bookkeeping activities with basic QuickBooks entries and financial record management Provide exceptional customer service by assisting clients, answering inquiries, and supporting customer support initiatives Handle office supply inventory, place orders as needed, and ensure the office remains well-stocked and functional Skills Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and computer literacy in general Excellent typing speed with attention to detail for data entry and proofreading tasks Bilingual abilities are highly valued to effectively communicate with diverse clients and team members Familiarity with front desk procedures, phone etiquette, and multi-line phone systems Experience with medical or dental receptionist duties is a plus but not required; strong customer service skills are essential Ability to manage time effectively, prioritize tasks efficiently, and handle multiple responsibilities simultaneously Personal assistant or medical receptionist experience is advantageous for understanding complex scheduling needs Join us as an Office Administrator to be at the heart of our organization's success!
