Job Description

Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth and efficient functioning of the office environment. Your proactive approach will support various administrative tasks, coordinate communication channels, and provide exceptional customer service. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth Handle multi-line phone systems, answer inquiries promptly, and transfer calls efficiently using proper phone etiquette Maintain accurate data entry, filing systems, and document management using tools like Microsoft Office, Google Workspace, and QuickBooks Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings Assist with clerical duties including proofreading documents, preparing reports, and performing general administrative support Provide excellent customer service by addressing client needs, supporting customer support initiatives, and ensuring positive interactions Perform bookkeeping tasks such as invoicing, expense tracking, and basic financial record keeping as needed Skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently Excellent communication skills in both English and bilingual capabilities (if applicable) Experience with office management software such as QuickBooks or similar accounting tools Demonstrated clerical experience including data entry, filing, proofreading, and document preparation Knowledge of front desk operations combined with exceptional phone etiquette and customer service skills Familiarity with medical or dental receptionist duties is a plus; experience in personal assistant or medical receptionist roles is advantageous Ability to handle multi-line phone systems confidently while maintaining professionalism under pressure Join us to be part of a vibrant team where your organizational talents will shine!
