The Executive Assistant & Office Manager will provide high level administrative and business partnership support to the Executive Vice President of Inside Sales and other key sales leaders. This position requires a high degree of professionalism, business acumen, and the ability to prioritize and manage complex tasks in a fast-paced environment. Executive Support Provide high-level administrative support to sales leaders (calendar management, meetings, travel). Act as a strategic partner, supporting planning, key initiatives, and follow-ups. Serve as liaison between executives and internal/external stakeholders. Prepare presentations, reports, and materials for executive and board meetings. Manage confidential information with discretion and professionalism. Project & Operational Management Lead and track special projects, ensuring timelines and deliverables are met. Facilitate cross-functional collaboration and alignment on company priorities. Provide operational insight and support for executive initiatives. Office Operations & Administration Oversee daily office operations (supplies, catering, facilities, mail, access systems). Coordinate schedules, meeting spaces, transportation, and visitors. Manage vendor relationships (cleaning, maintenance) and resolve operational issues. Serve as primary contact for office needs and emergency situations. Employee Experience & Engagement Lead employee engagement and culture initiatives. Plan events, offsites, and team activities. Promote a positive, inclusive workplace environment. Recognize milestones and gather employee feedback to improve experience. New Hire Employee Support Manage new hire travel coordination for onboarding. Act as a go-to resource for employee support across the AMS region. Provide guidance and ensure a positive employee experience. Procurement & Vendor Management Manage procurement processes, including sourcing, contracts, and purchase orders. Track budgets, monitor spend and identify cost-saving opportunities. Maintain vendor relationships and ensure compliance with policies and audits. Partner with legal and finance on contracts and approvals. Projects & Regional Initiatives Lead regional programs (e.g., customer gifting, office expansions). Support cross-regional operational and engagement initiatives. Additional Responsibilities Handle administrative tasks (e.g., business cards, recordkeeping). Maintain documentation and contracts. Continuously improve processes and anticipate operational needs. Act as a liaison across employees, leadership, and vendors.
Requirements:
Ability to work independently and proactively. Experience in office operations, administration, or employee engagement preferred. Procurement and vendor management experience is a plus. Strong organizational, multitasking, and problem-solving skills. Excellent communication and interpersonal abilities. Significant experience in an executive assistant or similar role supporting C-Suite or senior executives. Previous experience in a fast-paced technology or software company is highly desirable. Proven track record of managing high-level projects, with a strong understanding of business operations. Experience in supporting business strategy, project management, or cross-functional initiatives is a plus. Demonstrated ability to manage and prioritize multiple tasks in a demanding environment. Exceptional organizational and time management skills, with a strong attention to detail. Excellent written and verbal communication skills, with the ability to present information clearly and concisely. Proficient in using office and collaboration tools such as Microsoft Office Suite (Excel, PowerPoint, Word), Google Workspace, and project management tools (Asana, Trello, etc.). High emotional intelligence (EQ) and interpersonal skills, with the ability to build relationships and work effectively with a wide range of stakeholders. Ability to maintain confidentiality. Protect the confidentiality, integrity, and availability of company data in accordance with established security policies. Report any suspected security incidents or breaches to the security team immediately. Ensure compliance with organizational and regulatory data privacy requirements in all aspects of work.
