We are seeking passionate and dedicated teachers and support staff to inspire and nurture the minds of young learners. The office manager is assigned office management duties as well as student records and attendance. This position should have at least two years clerical and/or management experience and be proficient in word processing, phone service, use of technology, and other clerical duties. The office manager will provide direct support for the director and will manage the school's front office operations. This individual's responsibilities will include: Provide direct support for all staff Handle inventory of administrative materials Maintain documentation of all purchases made from administrative accounts Perform necessary clerical and secretarial duties Assess purchases made from the administrative budget Provide class coverage as required Maintain expense records for purchases Work with the leadership to provide support for staff related to benefits, paperwork, contacts, systems, etc. Oversee staff files and maintain accurate records and documentation including current licenses and ensuring positions are supported by VOEs, transcripts, and licenses Complete and maintain the benefits process for all employees Attend all assigned training Ensure that all staff paperwork is scanned and placed correctly in staff electronic personnel files Intake of payments on site (cash and check) and same day bank deposits Send records request to prior schools for all new students Oversee student files and maintain accurate records and documentation Ensure that all student paperwork is scanned and filed into individual student digital files Assist with student enrollment and recruitment initiatives Assists with transcripts, credit analyses and records requests Record daily attendance, issue attendance letters Assist with enrollment in ensuring students and parents have enrollment documents collected and scanned to student files Review and confirm vaccination records are compliant and maintained Monitor student health plans and administer medication as indicated by medical documentation Assist with intent to return from students including emails or phone calls to achieve 100% completion including follow throughs with those marked "unsure" Maintain front office email accounts (attendance, records) Maintain confidentiality of staff and student information at all times Collect tuition and fees and maintain individual student accounts Perform other duties as assigned
