This role is vital in ensuring the smooth functioning of our office environment, fostering effective communication, and supporting team productivity. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and the ability to manage multiple responsibilities confidently. Responsibilities Oversee daily office operations, including front desk management and multi-line phone systems to ensure seamless communication. Manage scheduling for meetings, appointments, and events, ensuring calendars are up-to-date and conflicts are minimized. Supervise administrative staff and coordinate training & development initiatives to enhance team performance. Handle vendor management by negotiating contracts, processing invoices through QuickBooks, and maintaining positive vendor relationships. Support human resources functions such as onboarding new employees, maintaining personnel files, and assisting with payroll processing. Organize filing systems, maintain records, and ensure compliance with company policies and procedures. Assist with office budgeting, bookkeeping, and expense tracking to optimize resource allocation. Requirements Proven experience in office management or administrative roles within a professional environment. Strong bilingual communication skills in both English and Spanish (or other relevant languages). Demonstrated supervising experience with the ability to lead and motivate a team effectively. Proficiency in QuickBooks, calendar management tools, and multi-line phone systems. Knowledge of human resources practices, payroll processing, budgeting, and bookkeeping procedures. Experience managing medical or healthcare office environments is a plus. Excellent organizational skills with attention to detail; ability to prioritize tasks efficiently.
