Job Summary:
City Mattress is seeking an experienced and proactive Office Manager/ Executive Assistant to provide high-level administrative support to our executive leadership team (primarily the CEO) and various corporate departments, including but not limited to Operations, Accounting, Facilities, Sales, Marketing, and HR. This position plays a crucial role in ensuring the smooth operation of executive functions, managing schedules, and facilitating efficient communication.
General Responsibilities & Duties:
Act as the primary point of contact between executives and internal/external stakeholders. Screen and manage phone calls, emails, and other communications, ensuring timely responses. Greet and welcome visitors, employees, contractors, and guests entering the office. Effectively manage complex calendars for executives, scheduling meetings, appointments, and travel arrangements (primarily for CEO). Organize and coordinate meetings, conferences, events, services, including logistical arrangements, agenda preparation, and materials distribution. Coordinate travel arrangements, including flights, accommodations, and transportation, for executives and visiting guests. Draft and edit correspondence, presentations, reports, and other documents on behalf of executives. Prioritize and manage multiple tasks and projects simultaneously, ensuring deadlines are met. Collaborate with other administrative professionals to ensure cohesive support across the organization. Provide backup support to other members of the administrative team as needed. Other assigned tasks, as required. (Ex. Annual company celebration/presentation, onboarding of new hires, offboarding, etc.)
Requirements:
Bachelor's degree in Business Administration, Management, related field, or relevant experience. 2+ years of experience as an Office Manager, Executive Assistant or similar role. Excellent verbal and written communication skills for effective interaction with customers, guests, vendors, visitors, and employees at all levels. Friendly and outgoing personality, coupled with a pleasant phone voice and professional presentation. Ability to multitask efficiently, meet deadlines, and pay meticulous attention to detail. Team-oriented mindset, capable of working collaboratively in a strong team environment. Strong proficiency in Microsoft Office Within the first 90 days or so, you will: Build trusted working relationships with the CEO, executive team, and key stakeholders. Take ownership of executive scheduling, communication, and coordination with minimal direction. Become a reliable point of contact who helps keep projects, meetings, and priorities moving forward efficiently.

Executives spend more time leading the business and less time managing logistics because priorities, schedules, and communications are handled seamlessly. Nothing falls through the cracks; meetings, travel, projects, events, and follow-up actions are coordinated accurately and completed on time.
