The Office Manager is the operational backbone of the team — the central point of coordination across sales, marketing, and administration. This role oversees a virtual Marketing Coordinator (who executes marketing), keeps systems and listings aligned, and provides day-to-day operational support to the team lead and agents. It's a hands-on role for someone who thrives on systems, follow-through, and keeping a fast-moving team efficient. Key Responsibilities Marketing Oversight & Coordination Oversee the Marketing Coordinator (VA) who executes social media, blogs, e-blasts, video, graphics, and print marketing. Hold weekly check-ins on projects, ads, and analytics; monitor performance metrics and provide feedback. Coordinate marketing requests in ClickUp and incorporate listing updates (price, status, timelines) so execution stays on time. Manage the digital marketing pipeline including approval of social media drafts, e-blasts, postcards, brochures, and long-form video before publishing. Manage the print pipeline (proofs, mailing lists, approvals) and Santiva Chronicle ad placements; provide oversight for the "Let's Talk SWFL" podcast and BeCreatives video editing. Listings, Appfiles, MLS and Lead Flow Input and maintain MLS listings through their full lifecycle (status changes, extensions, closings) and ensure alignment across MLS, Luxury Presence, ClickUp, and CRM. Monitor inbound leads in Luxury Presence; distribute to agents and report on follow-up at weekly team meetings. Monitor Appfiles and MLS compliance concerns and stay proactive with agents or third parties to resolve any issues in a timely manner. Office Operations, Calendar and Billing Manage the team lead's calendar and coordinate listing-related scheduling (photography, video, inspections, vendors). Review, process, and track invoices for marketing, photography, and operations; split costs between team and agents as needed. Manage signs, lockboxes, post installations/removals, listing access details, and office supplies; keep the office organized and operational. Systems, Tracking and Process Improvement Maintain accuracy and alignment across the full systems stack (ClickUp, AppFiles, Google Sheets, Dropbox, MLS, Luxury Presence, Constant Contact, Hootsuite, Canva, BeCreatives, and others). Maintain trackers for listings, sales, revenue, and performance; prepare regular reporting for leadership. Identify inefficiencies, update SOPs, and continuously improve workflows as the team grows. What You'll Bring 2+ years in office management, real estate operations, marketing coordination, or a similar role. Self-starter who takes initiative and brings a point of view — comfortable proposing a better approach or pushing back when a request falls outside the role. Real estate experience preferred; familiarity with
MLS, CRM
systems, and brokerage compliance a plus. Strong organization, project management, and written communication skills. Tech-savvy and quick to learn new platforms (ClickUp, Luxury Presence, Canva, Hootsuite, etc.). Detail-oriented, proactive, and discreet with confidential financial and client data.Pay:
