In this vital role, you will oversee the administrative functions related to window and door projects, ensuring smooth operations from order processing to customer support. Your energetic approach and organizational skills will help streamline communication, manage documentation, and enhance overall office efficiency. This position offers an exciting opportunity to contribute to a growing company dedicated to delivering quality products and exceptional service. Duties Manage all administrative aspects of window and door projects, including order entry, tracking, and follow-up. Utilize QuickBooks for invoicing, billing, and financial record-keeping to ensure accurate and timely transactions. Serve as the front desk receptionist, greeting visitors and clients with professionalism and enthusiasm. Take initial calls Manage rental property tenant invoices, bills, and process mortgage payments Maintain organized filing systems for project documents, contracts, warranties, and correspondence. Support office management tasks such as calendar scheduling, appointment setting, and coordinating meetings. Process payroll, process bills and pay vendors, manage accounts payables and receivables. Sort all physical mail and emails that come in Proofread documents for accuracy and clarity before distribution or filing. Manage office supplies inventory, place orders when necessary, and ensure the office environment remains organized and welcoming. Support bookkeeping activities using QuickBooks or similar software to track expenses and payments related to projects. Handle clerical duties such as photocopying, scanning, mailing, and maintaining cleanliness of shared workspaces. Requirements Proven experience in office management or administrative roles within a fast-paced environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry skills. Experience with QuickBooks or similar accounting software is highly desirable. Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting. Accounting and bookkeeping knowledge Bilingual abilities are a plus to serve diverse customer needs effectively. Spanish Strong typing skills with attention to detail for proofreading documents accurately. Knowledge of office equipment including printers, scanners. Ability to handle confidential information discreetly while maintaining professionalism at all times. Personal assistant or calendar management experience is beneficial for supporting team schedules efficiently.
