You will manage daily office operations, write reports, support project coordination, work on budgeting and help maintain strong team performance in a dynamic and technical industry. Key Responsibilities Administrative & Operational Manage CRM, incoming and outgoing phone calls in a professional and efficient manner. Prepare and submit continuous reports (daily, weekly, and monthly). Organize and maintain a regular follow-up system for ongoing projects and fieldwork. Monitor project progress and budgets in real-time. Develop and improve the company's CRM system. Track and support marketing activities and campaigns. Financial Management Maintain supervision over company expenses Track project budgets and financial performance. review estimates,basic financial reports, and upcoming projects. Team Management & Leadership Provide strong leadership and oversight of both office and field teams. Promote excellent teamwork and collaboration, with projects supervisor and logistic manager. Organize team-building events and fun days to strengthen company culture. Serve as the central point of communication between office, field teams, and management. Additional Responsibilities supervise and coordinate filing systems for projects, permits, inspections, safety records, and compliance documents. Support procurement of materials and equipment for marine and seawall projects. Assist in preparing bids, proposals, and client communications. Coordinate with regulatory bodies regarding permits and environmental requirements. Manage office supplies, equipment, and general office operations. Support basic HR tasks including onboarding, time tracking, and payroll assistance. Ensure compliance with safety standards and insurance requirements. Requirements Proven experience as an Office Manager, Administrative Manager, or similar role (construction industry experience is a strong advantage). Excellent organizational and multitasking skills. Strong financial oversight and budgeting experience. Proficiency in QuickBooks, CRM systems, Microsoft Office (especially Excel), and project management tools. High level of responsibility, discretion, and attention to detail. Excellent communication and interpersonal skills. Ability to work independently and as part of a team in a fast-paced environment. Basic understanding (or willingness to learn) of marine construction, seawall projects, and related terminology.
