Job Description

Office Administrator (Bilingual English/Spanish Required) Join a Growing Company Making an Impact Across South Florida Rapid Barricades is seeking a highly organized, energetic, and detail-oriented Office Coordinator to support our fast-paced traffic control and construction operations. This position plays a critical role in keeping our office, field operations, billing, permitting, and project coordination running smoothly. The ideal candidate is proactive, professional, customer-focused, and capable of managing multiple priorities while maintaining exceptional attention to detail. Bilingual English and Spanish is required for this position. What You'll Do Administrative & Office Operations Provide administrative support to management and office staff. Maintain accurate records, files, databases, and project documentation. Answer incoming calls, emails, and client inquiries professionally. Coordinate office activities and ensure efficient day-to-day operations. Manage office inventory, supplies, and equipment. Billing & Accounting Support Assist with invoicing, accounts receivable, and accounts payable. Reconcile statements and maintain accurate financial records. Support budgeting, forecasting, and financial reporting activities. Follow up on outstanding invoices and client payments. Project Coordination & Dispatch Coordinate with field personnel, supervisors, and project managers. Schedule and dispatch crews, equipment, and materials to job sites. Monitor project schedules and track progress. Assist with project documentation and closeout requirements. Permitting & Compliance Assist with permit applications, licenses, and regulatory requirements. Support compliance with company policies and industry regulations. Maintain organized permit and project records. Customer Service Deliver exceptional customer service to clients, vendors, and team members. Build and maintain positive professional relationships. Assist with special projects and other duties as assigned. QualificationsRequired Bilingual English and Spanish (written and verbal). High School Diploma or equivalent. Minimum 1-2 years of administrative, office coordination, or customer service experience. Strong organizational and time-management skills. Excellent communication and problem-solving abilities. Proficiency with Microsoft Office (Word, Excel, Outlook). Ability to handle confidential information with professionalism. Ability to multitask and work effectively in a fast-paced environment. Preferred Experience in construction, traffic control, transportation, utilities, telecommunications, or a related industry. Familiarity with permitting processes and project coordination. Experience with QuickBooks or accounting software. Knowledge of Maintenance of Traffic (MOT) operations and regulations.
