Rebuilding Together Miami-Dade (RTMD) is seeking a compassionate, organized, and community-minded Client Coordinator / Office Administrator to join our team. About Rebuilding Together Miami-Dade For more than 30 years, Rebuilding Together Miami-Dade has provided critical home repairs and accessibility modifications for some of Miami-Dade County's most vulnerable homeowners. As the only organization serving this need county-wide, we are committed to preserving safe, healthy, and affordable housing for low-income residents, seniors, veterans, and individuals with disabilities. Since our founding, we have: Repaired and rehabilitated more than 1,300 homes Donated over $20 million in market-value repairs to the community Helped preserve affordable homeownership and stabilize neighborhoods across Miami-Dade County While Miami is often known for its luxury and growth, many residents face severe housing challenges. Nearly 420,000 households in Miami-Dade are cost-burdened, and families earning 30% or less of the Area Median Income continue to be one of the fastest-growing vulnerable populations. At RTMD, we believe every family deserves a safe place to call home. Our work focuses on preserving naturally occurring affordable housing, preventing displacement, supporting community stability, and improving residents' health and safety. We proudly serve communities throughout Miami-Dade County, with strong roots in areas such as West Coconut Grove and Florida City. About the Role As the Office Administrator, you will play a vital role in supporting homeowners throughout the application, intake, construction, and project close-out process. This position is ideal for someone who is empathetic, detail-oriented, and passionate about serving the community. You will work closely with both the client services and construction teams to ensure homeowners receive consistent communication, support, and guidance throughout their experience with RTMD. Key Responsibilities Communicate with homeowners and contractors via phone and email to provide updates and answer questions Process incoming applications and manage client documentation Respond to phone calls, referrals, and community inquiries Prepare and distribute contracts and required paperwork Interview prospective homeowners and assist with applications for programs and services Maintain organized client files and track documentation for program eligibility Upload and manage data in organizational systems including Dropbox and Monday.com Write homeowner biographies and present client cases for program review Research and refer clients to outside resources when needs fall outside RTMD services Track client progress and provide updates during staff meetings Support volunteer events and community outreach efforts Assist staff with reporting, administrative tasks, and data collection What We're Looking For Strong communication, organizational, and interpersonal skills Compassion and patience when working with vulnerable populations Ability to problem-solve and remain calm in challenging situations A collaborative team player eager to learn and grow within the non-profit field Proficiency in Microsoft Word, Excel, and email platforms Experience with Dropbox and Monday.com is a plus Requirements Ability to work primarily in an office environment using a computer and phone for extended periods Ability to travel independently to meetings, community events, and client homes throughout Miami-Dade County Why Join RTMD?
