Job Description:
Office and Finance Manager Our client is seeking an experienced and detail-oriented Office Manager with deep experience in Finance to oversee the daily operations of their Miami office. Reporting directly to the General Manager, this role is responsible for ensuring the smooth functioning of administrative, accounting, and HR processes while supporting the broader business operations. The ideal candidate is highly organized, proactive, and comfortable managing a wide range of responsibilities in a fast-paced environment. Key Responsibilities Manage accounts payable and accounts receivable processes, including invoicing, payment processing, collections, expense tracking, and account reconciliations Maintain accurate financial records and support month-end closing activities. Oversee office lease agreements, vendor relationships, and compliance with labor laws, insurance policies, permits, and company operations. Support recruitment processes, onboarding, payroll administration, and employee-related matters. Support sales and service teams with contracts, quotes, purchase orders, invoicing, and payments. Ensure office security systems and overall administrative operations run smoothly. Requirements Bachelor's degree in Business Administration, Management, Accounting, or a related field 6+ years of experience in office management, administrative, or accounting roles with strong financial operations exposure Solid experience managing accounts payable, accounts receivable, reconciliations, financial recordkeeping, and supporting budgeting/reporting processes Excellent communication and interpersonal skills Proficiency with office and accounting tools/systems (e.g., invoicing, bookkeeping, ERP or similar platforms) Detail-oriented with strong analytical and problem-solving skills in financial and operational contexts Nice to Have Spanish language proficiency Experience working in a manufacturing environment Familiarity with U.S. labor laws and administrative practices Experience with ERP systems
