This vital role ensures smooth administrative workflows, exceptional customer service, and efficient management of office resources. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive and welcoming workplace. As the backbone of our office team, you will coordinate administrative tasks, oversee front desk operations, and support various departments to achieve operational excellence. Duties Manage front desk activities, including greeting visitors, answering multi-line phone systems, and providing outstanding customer service with professional phone etiquette. Oversee office supplies inventory, procurement, and filing systems to ensure a well-organized workspace. Handle data entry, bookkeeping using QuickBooks, and maintain accurate records for billing and expenses. Coordinate calendar management and schedule appointments for staff and executives while ensuring efficient time management. Support clerical tasks such as proofreading documents, managing correspondence, and maintaining filing systems—both physical and digital using Google Workspace and Microsoft Office. Assist with office management duties including overseeing office safety protocols, supervising administrative staff, and ensuring compliance with company policies. Provide exceptional customer support by addressing inquiries promptly and professionally, whether in person or via phone or email. Support personal assistant functions as needed, including travel arrangements or special project coordination. Experience Proven experience in office management or administrative roles with a strong background in clerical work and customer service. Familiarity with QuickBooks for bookkeeping and financial recordkeeping is highly desirable. Prior experience managing multi-line phone systems, front desk operations, and calendar scheduling is essential. Bilingual abilities are a plus to effectively communicate with diverse clients and team members. Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), data entry, proofreading, and general computer skills. Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail. Experience in medical or dental receptionist roles is advantageous but not required; a background in office support within healthcare settings can be beneficial. Knowledge of office procedures such as filing systems, time management techniques, bookkeeping practices (including personal assistant experience), and office safety protocols will set candidates apart.
