Overview Join our dynamic healthcare team as a Physician Office Manager, where you will lead the daily operations of a busy medical practice. This vital role combines strategic oversight with hands-on management to ensure smooth clinic functioning, exceptional patient care, and compliance with healthcare regulations. You will be the driving force behind efficient office workflows, staff supervision, and financial stewardship, creating an environment where both staff and patients thrive. Your leadership will empower the clinic to deliver top-tier medical services while maintaining operational excellence. Responsibilities Oversee all aspects of medical office management, including scheduling, patient flow, and administrative support to ensure seamless clinic operations. Supervise and mentor clinical and administrative staff, fostering a collaborative and high-performing team environment. Manage fiscal responsibilities such as budgeting, financial management, billing processes, and ensuring accurate medical records in compliance with HIPAA regulations. Utilize EMR (Electronic Medical Records) systems like Epic, eClinicalWorks, Dentrix, or Eaglesoft to maintain precise patient documentation and streamline workflows. Coordinate with healthcare providers on practice management initiatives, including utilization management and managed care strategies to optimize patient outcomes and operational efficiency. Ensure compliance with healthcare standards such as JCAHO accreditation requirements and HIPAA privacy rules. Oversee human resources functions including hiring, training, performance evaluations, and staff scheduling to maintain a motivated team dedicated to excellent patient care. Implement policies for medical administrative support functions such as medical records management, insurance verification, and billing procedures. Monitor clinic performance metrics and develop improvement strategies to enhance patient satisfaction and operational productivity. Experience Proven experience in medical office management or healthcare administration within a clinical setting; experience in dental or veterinary clinics is a plus. Strong background in fiscal management, budgeting, and financial oversight within a healthcare environment. Supervisory experience leading multidisciplinary teams in fast-paced medical or dental offices. Familiarity with EMR/EHR systems such as Epic, eClinicalWorks, Dentrix, Eaglesoft or similar platforms for managing electronic health records efficiently. Knowledge of healthcare regulations including HIPAA compliance, JCAHO standards, utilization management protocols, and managed care practices. Hands-on experience with medical terminology, medical records management, and clinical workflows related to acute care or hospital settings. Excellent organizational skills combined with the ability to handle multiple priorities while maintaining attention to detail in a busy practice environment.
