We are plumbing company, Repipes Only, this energetic professional will ensure smooth administrative workflows, maintain efficient communication channels, and foster a welcoming atmosphere for staff, clients, and visitors alike. The ideal candidate will possess exceptional organizational skills, a proactive attitude, and the ability to manage multiple responsibilities with enthusiasm. As the central point of contact for office activities, you will play a vital role in supporting our team's productivity and ensuring all administrative functions run seamlessly. Duties Handle multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette Manage calendar scheduling, appointment setting, and coordinate meetings for staff Maintain accurate records through data entry, filing, and document proofreading to ensure organizational clarity Utilize office management software including Microsoft Office Suite, Google Workspace, and QuickBooks for bookkeeping and administrative tasks Support customer service efforts by providing prompt assistance to clients and internal teams Perform clerical duties such as typing correspondence, managing emails, processing invoices, and organizing files efficiently Supervise back office inventory, order materials as needed, and ensure the office environment remains tidy and functional Experience Proven experience in office management or administrative roles within a professional setting Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and QuickBooks or similar accounting software Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Prior clerical experience involving data entry, filing systems, proofreading documents, and managing correspondence Bilingual abilities are a must, English and Spanish to support diverse client needs Demonstrated customer service skills with a friendly demeanor and professional phone etiquette Join us as an Office Manager to lead our administrative team with energy and precision!
