Job Description

Overview We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Duties Manage front desk responsibilities, including greeting visitors and handling inquiries with professionalism and warmth Operate multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette Perform data entry, filing, and document proofreading to ensure accuracy and organization across all administrative records Handle customer support tasks by responding promptly to client inquiries via phone or email, providing exceptional service at all times Maintain office supplies inventory, place orders as needed, and coordinate office management activities to keep the workspace organized Manage all bookkeeping activities using QuickBooks or similar software, including invoicing, expense tracking, and basic financial record keeping Execute payroll biweekly and update employee PTO tracking Requirements Proven office experience with strong clerical skills and familiarity with office management procedures Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment Experience in customer service or as a receptionist demonstrating excellent phone etiquette and professionalism Knowledge of bookkeeping software such as QuickBooks and basic understanding of office equipment like multi-line phones and printers Ability to manage time effectively while juggling multiple responsibilities with accuracy and attention to detail Join us as an Office Administrator where your proactive attitude will help create an inviting atmosphere for clients and colleagues alike.
