Office Manager

We are looking for a skilled Office Manager to join our team on a contract basis in Riviera Beach, Florida. In this role, you will oversee administrative and operational tasks, including service scheduling, job management, and billing functions. This position requires excellent organizational abilities and attention to detail to ensure smooth operations and customer satisfaction.

Responsibilities:

• Coordinate and schedule service appointments while managing technician dispatching.
• Respond to incoming calls and direct them to the appropriate team members.
• Open, organize, and close service jobs, ensuring job files and calendars are accurately maintained.
• Verify technician timesheets for accuracy and completeness.
• Prepare, finalize, and post service invoices promptly.
• Reconcile job costs, process progress billings, and apply customer payments accurately.
• Maintain detailed customer account information, including discounts and tax exemptions.
• Investigate and resolve billing discrepancies or payment issues efficiently.
