Job Description

Overview We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly while managing essential bookkeeping tasks. Your energetic approach and attention to detail will help foster a productive environment, support administrative functions, and maintain accurate financial records. This position offers an exciting opportunity for someone who thrives in a fast-paced setting and enjoys multitasking with enthusiasm. Duties Oversee daily office operations, including front desk management, greeting visitors, and handling multi-line phone systems with professionalism and warmth Manage appointment scheduling, calendar coordination, and ensure efficient time management for staff and clients Perform bookkeeping functions using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations Maintain organized filing systems—both digital (Google Workspace, Microsoft Office) and physical—to ensure easy access to documents Provide exceptional customer service by supporting clients and vendors via phone, email, or in person with courteous and effective communication Assist with clerical tasks such as data entry, proofreading documents, preparing reports, and managing correspondence Support office management duties like ordering supplies, maintaining office equipment, and ensuring a clean, organized workspace Experience Proven experience in office management or administrative roles with strong organizational skills Demonstrated proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace tools Previous clerical experience including data entry, filing, proofreading, and document preparation Experience handling multi-line phone systems and practicing professional phone etiquette Bilingual ability is a plus to serve diverse clients and team members effectively Familiarity with bookkeeping practices such as invoicing, expense tracking, and bank reconciliations using QuickBooks or similar software Personal assistant or medical/dental receptionist experience is advantageous but not required Join us to be a key contributor in creating an efficient office environment while supporting our financial health! Pay:
$25.76 - $31.02 per hour
