Job Description:
Small criminal defense firm in Downtown Atlanta is seeking office manager/paralegal. The Office Manager plays a central role in overseeing the daily operations of the law firm, ensuring smooth coordination among staff, clients, attorneys and vendors. This individual is responsible for supervising administrative and legal support functions, managing firm systems, maintaining file integrity, overseeing calendars and task workflows and ensuring clients receive timely communication. The Office Manager also monitors internal performance, identifies process improvements and supports financial operations in collaboration with billing staff.
Key Responsibilities Operations & Workflow Oversight:
  • Supervise all staff (currently 3), providing direction, coaching, and support;
  • Ensure tasks are delegated and completed according to internal procedures and deadlines;
  • Monitor workflow across all cases and troubleshoot bottlenecks or inefficiencies;
  • Manage and refine daily/weekly internal check-ins and morning huddles. Calendar & Scheduling Management
  • Oversee attorney calendars, ensuring no double-bookings and all key events are calendared;
  • Coordinate hearing dates, deadlines, and client appointments with precision;
  • Draft basic pleadings (e.g. entry of appearance) for attorney signature and filing
  • Communicate w/ your counterparts at other firms, clerk's offices and courts on scheduling and other matters Client Communication & Experience
  • Ensure clients receive timely updates about court hearings, case status, and changes;
  • Handle escalated client complaints and collaborate on resolutions with attorneys and staff;
  • Oversee contract and intake processes, ensuring smooth onboarding of new clients. File & System Oversight
  • Ensure file completeness and consistency, particularly before attorney review;
  • Manage firm software setup for new matters, task assignment, deadline tracking, and contact entry;
  • Maintain SOPs and coordinate updates as needed. Financial & Billing Support
  • Collaborate with billing/admin staff to track outstanding payments and send follow-ups;
  • Assist with invoice review and client payment option communication when needed. Staff Support & Development
  • Support new hire onboarding with checklists and training coordination;
  • Participate in staff performance reviews and contribute to training and retention plans Quality Control & Reporting
  • Conduct monthly file audits to ensure compliance with firm standards;
  • Track and report on key metrics related to task completion, client satisfaction, and operational flow
Details:
Job is on site, 9-5:30 M-F (non-negotiable) Candidates with the following will receive priority consideration:
  • 4-year college degree;
  • Documented minimum 3 years' work experience as office manager or paralegal;
  • Speaks Spanish fluently;
  • Demonstrated business writing capability;
  • Experience working in a law firm;
  • Experience working in a law firm which handles criminal matters;
  • Demonstrated experience with lawfirm management software;
  • Familiarity with basic legal research, e.
