Learn more about who we are and what we're building: https://alineaccounting.com In this role, you will: Serve as the primary point of contact for clients, visitors, vendors, and incoming calls, providing a welcoming and professional experience. Work from the front desk while overseeing day-to-day office operations and administrative functions. Coordinate meetings, conference room scheduling, office logistics, and visitor management. Support client onboarding, document management, billing, invoicing, and other administrative processes. Manage office supplies, facilities needs, vendor relationships, and workplace operations. Provide administrative support to partners and team members as needed. Develop and maintain efficient administrative procedures and office processes. Partner with firm leadership on special projects and operational initiatives. Handle confidential information with professionalism and discretion.
What We're Looking For:
5+ years of experience in office administration, office management, executive support, or a related role, preferably within a CPA firm or professional services environment. Strong leadership, organizational, and project management skills. Excellent phone presence and experience serving as the first point of contact for clients and visitors. Experience managing office operations, facilities, vendors, and administrative processes. Experience with billing, invoicing, scheduling, and client-related deadlines. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Excellent communication, customer service, and problem-solving skills. Ability to manage multiple priorities and deadlines in a fast-paced environment.
