Job Description

Job Summary We are seeking a dynamic and organized Office Manager/Administrative Assistant to join our team! This vital role combines office management with administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to handle a variety of clerical and organizational tasks. Your energy and enthusiasm will help create an efficient, welcoming environment where both clients and team members feel valued and supported. Responsibilities Manage the day-to-day operations of the office, including overseeing supplies, equipment, and facilities maintenance Serve as the first point of contact at the front desk, greeting callers and directing inquiries with professionalism and warmth Operate multi-line phone systems, handle incoming calls, screen messages, and direct calls appropriately Maintain accurate records through data entry, filing, and document proofreading to ensure information is organized and accessible Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for correspondence, reports, scheduling, and presentations Coordinate calendar management and appointment scheduling for staff or executives using various digital tools Support bookkeeping tasks using QuickBooks or similar accounting software to manage invoices, expenses, and financial records Provide exceptional customer service by addressing client needs promptly via phone or email while maintaining excellent phone etiquette Assist with clerical duties such as photocopying, scanning, mailing, and organizing files to keep the office running smoothly Oversee support queue and handle hosted VOIP phone systems and integrations. Requirements Proven experience in office management or administrative roles with strong organizational skills Proficiency in computer literacy including Microsoft Office (Word, Excel, PowerPoint) Excellent communication skills with a friendly demeanor Experience handling multi-line phone systems and demonstrating professional phone etiquette Strong typing skills with attention to detail for proofreading documents and managing correspondence Previous office experience in clerical support or customer service roles preferred Ability to multitask efficiently while managing time effectively in a fast-paced environment Join us to be part of a vibrant team dedicated to delivering outstanding support in a professional setting.
