Full Job Description About Modern:
Modern is a fast-paced, high-performing contents restoration company that specializes in helping families and businesses recover after property losses. Our team is growing, and we're looking for a reliable, organized, and proactive Office Manager to take control of our daily backend operations.
About You:
You thrive on structure and love making sure nothing falls through the cracks. You enjoy working behind the scenes to keep things running smoothly and on schedule. You're comfortable following systems, enforcing deadlines, and improving processes when needed. You're not afraid to follow up or hold others accountable.
Key Responsibilities:
Manage our recurring internal systems (reminders, scheduling, document follow-up, and checklists) Assist in accounts payable and billing Ensure documents, reports, and communications are completed and submitted accurately and on time Coordinate with insurance adjusters and customers as needed Assist with estimate tracking, billing, and reporting Audit reports and documentation for accuracy and consistency Support the leadership team by staying ahead of admin needs and reinforcing deadlines across departments Help facilitate time-sensitive notices and correspondence related to claims or job status Order supplies and equipment as needed, and maintain appropriate stock levels for daily operations
Qualifications:
Exceptional organizational skills and attention to detail Reliable follow-through and proactive communication Comfortable with digital task systems, email, and calendar tools Familiar with Google Workspace, Microsoft suites and basic office software Prior experience in office coordination or administrative roles preferred Familiarity with the restoration or insurance industry is a plus (but not required)
