Job Description

Overview We are seeking a dynamic and organized Office Administrator/Receptionist to join our team and ensure the smooth operation of our office environment. This vital role combines front desk responsibilities with administrative support, creating a welcoming atmosphere for visitors and providing essential clerical assistance to staff. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, ready to handle multiple tasks efficiently while maintaining a positive attitude. Your contribution will help foster an efficient, professional, and friendly workplace that supports our company's growth and success. Duties Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression. Manage multi-line phone systems, directing calls accurately and courteously while providing exceptional customer service. Handle front desk operations including scheduling appointments, managing mail distribution, and maintaining visitor logs. Perform data entry, filing, and document proofreading to ensure accuracy and organization across all administrative records. Utilize computer skills with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations. Oversee office management tasks such as supply inventory, equipment maintenance coordination, and calendar management for staff meetings. Support bookkeeping activities using QuickBooks or similar software for basic invoicing and expense tracking. Maintain confidentiality of sensitive information while demonstrating excellent phone etiquette and organizational skills. Assist with clerical duties such as proofreading documents, managing data entry tasks, and supporting customer support efforts. Provide personal assistant support when needed, including scheduling appointments and managing complex calendars. Experience Proven office experience or administrative background with familiarity in front desk operations. Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools. Experience handling multi-line phone systems and delivering exceptional customer service in fast-paced environments. Bilingual abilities are highly desirable to serve diverse client needs effectively. Previous roles involving clerical tasks such as filing, proofreading, bookkeeping (QuickBooks preferred), and calendar management are advantageous. Knowledge of medical or dental receptionist duties is a plus but not required; experience in office management or personal assistant roles is beneficial. Excellent organizational skills with the ability to prioritize tasks efficiently while demonstrating time management expertise.
