Job Description
Overview Join our dynamic auto repair shop team as an Office Assistant, where your energetic and organized approach will keep our daily operations running smoothly! In this vital role, you will serve as the friendly face at the front desk, manage phone systems, handle administrative tasks, and support our team with efficient office management. Your bilingual skills and computer literacy will help foster excellent customer support and streamline office processes. This paid position offers a fantastic opportunity to develop your clerical and administrative expertise in a fast-paced automotive environment. Responsibilities Greet customers warmly and provide exceptional front desk support to ensure a positive experience. Manage multi-line phone systems, answer inquiries, and direct calls professionally using proper phone etiquette. Handle data entry, filing, and record keeping using tools like QuickBooks, Microsoft Office, and Google Workspace to maintain accurate documentation. Assist with bookkeeping tasks such as invoicing, billing, and basic financial record management. Support appointment scheduling and calendar management for service appointments and staff meetings. Perform general clerical duties including proofreading documents, organizing files, and maintaining office supplies. Provide excellent customer service by addressing client questions promptly and supporting their needs efficiently. Qualifications Prior office management or clerical experience in a busy environment is preferred. Strong computer skills including proficiency with Microsoft Office (Word, Excel), Google Workspace, and data entry software. Experience with QuickBooks or similar bookkeeping software is a plus. Bilingual ability to communicate effectively in more than one language is highly desirable. Excellent organizational skills with keen attention to detail and time management capabilities. Demonstrated professionalism in phone etiquette and customer support interactions. Ability to multitask efficiently while maintaining accuracy in all tasks performed.
