The Office Manager keeps everything running well through organization and support of team members. Primary duties include bookkeeping, phones, AR/AP, and general office tasks. Knowledge of construction is not required. We provide on-the-job training for qualified applicants Job Duties Manage incoming phone calls by directing them to the appropriate individual or voicemail, and screen calls to minimize unsolicited or spam communications. Open mail and distribute it to the right recipient or file. Greet customers promptly and notify the appropriate person.
Accounts receivable:
Billing, AIA billing and e-billing, point of contact, handling finance charges, and statements, managing late accounts, receiving payments, bank deposits, and overseeing petty cash. Accounts payable (enter vendor bills, print vendor checks) Gather credit references for new customers and set up accounts for customers and vendors. Order and stock office supplies and breakroom supplies. Provide a variety of forms to customers and vendors upon request, including lien waivers, certificates of insurance, customer credit applications, W-9 forms, and others as needed. File paperwork and pull files as needed. Mail invoices, payments, statements, ECT. Other various support to sales and shop staff as needed. Programs you will be working with daily include, QuickBooks, Office 365 (Outlook, Excel, Word), online billing platforms, and the AID Install App. Oversee the AID website and social media pages. Qualifications High school diploma or G.E.D. required Proficient in Microsoft Office programs Strong written and verbal communication skills Comprehensive understanding of customer service Able to work independently and as a team when needed Highly organized with attention to detail Provide quality work through the repetition of a task Experience with QuickBooks is a plus, but not recommended Good problem-solving skillsJob Type:
