This energetic role requires a proactive individual who excels in multitasking, maintains exceptional organizational skills, and fosters a welcoming atmosphere for staff, clients, and visitors alike. As the cornerstone of our daily operations, you will oversee administrative procedures, coordinate office activities, and support various departments to enhance overall productivity. Your expertise in office management tools and excellent customer service will be instrumental in creating an efficient and positive workplace. Duties Manage daily office operations, including overseeing front desk activities and ensuring a professional reception area. Handle multi-line phone systems with excellent phone etiquette, directing calls accurately and courteously. Maintain organized filing systems, perform data entry, and ensure all documents are accurately proofread and stored securely. Coordinate calendar management and scheduling for meetings, appointments, and company events using Google Workspace or Microsoft Office tools. Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic bookkeeping duties. Provide exceptional customer support by addressing inquiries promptly via phone, email, or in person while maintaining a friendly demeanor. Assist with clerical tasks such as proofreading documents, managing correspondence, and maintaining office supplies inventory. Facilitate effective communication across departments by managing internal emails, memos, and notices. Support personal assistant responsibilities when needed, including travel arrangements or special project coordination. Ensure compliance with office policies and procedures while fostering a positive work environment that encourages teamwork. Experience Proven experience in office management or administrative roles within a professional setting. Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry software. Demonstrated ability to handle multi-line phone systems efficiently while providing excellent customer service. Experience with QuickBooks or similar bookkeeping software is highly preferred. Exceptional organizational skills with the ability to prioritize tasks effectively under tight deadlines. Strong attention to detail for proofreading documents and managing files accurately. Excellent time management skills to juggle multiple responsibilities seamlessly while maintaining professionalism at all times.
