Job Description

Job Overview We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role is the heartbeat of our daily operations, ensuring that everything runs smoothly and efficiently. As an Office Administrator, you will be the first point of contact for visitors and clients, manage administrative tasks with precision, and support various office functions to foster a productive and welcoming environment. Your proactive approach and excellent communication skills will help keep our office operations seamless, energized, and professional. Sale skills are important but not the main skills needed. Duties Greet visitors, answer multi-line phone systems, and direct calls with professionalism and courtesy using proper phone etiquette Manage front desk responsibilities, including checking in guests and handling incoming inquiries promptly Maintain accurate data entry records using Microsoft Office applications, Google Workspace tools, and QuickBooks for bookkeeping purposes Organize filing systems—both digital and physical—to ensure easy retrieval of documents and records Provide exceptional customer support by addressing inquiries, resolving issues, and supporting client needs with a friendly attitude Assist with office management tasks such as supply inventory, equipment maintenance, and general clerical duties. to keep the office running smoothly Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Google Workspace, and basic computer literacy Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent phone etiquette skills with experience managing multi-line phone systems Bilingual abilities are a plus to serve diverse client needs effectively Strong typing skills along with attention to detail for proofreading documents and data entry tasks Previous experience as a receptionist or personal assistant is beneficial; familiarity with construction is important.
