Job Overview We are seeking a dynamic and detail-oriented Trucking Office Administrator to join our team, specializing in Accounts Payable/Receivable (AP/AR) and Operations management. In this vital role, you will oversee daily office functions, coordinate logistics, manage vendor relationships, and ensure smooth administrative workflows. Your proactive approach and organizational skills will contribute to the efficiency of our trucking operations, supporting both financial accuracy and operational excellence. Duties Manage accounts payable and receivable processes using QuickBooks or similar accounting software, ensuring timely invoicing, payments, and collections Oversee scheduling of shipments, driver assignments, and delivery timelines to optimize operational flow Coordinate with vendors, clients, and internal teams to facilitate smooth communication and resolve issues promptly Handle office management tasks including filing, record keeping, and maintaining organized documentation for financial and operational purposes Supervise administrative staff, providing training on office procedures, phone etiquette, and customer service standards Manage calendar appointments for dispatchers and managers, ensuring efficient time management across departments Support human resources functions such as payroll processing, employee onboarding, and maintaining personnel records Experience Proven experience in office administration within a transportation or logistics environment preferred Supervising experience in an administrative or team management role required Proficiency with QuickBooks or comparable bookkeeping/accounting software essential Strong organizational skills with the ability to manage schedules, files, and multiple priorities effectively Experience in vendor management and vendor relations necessary for maintaining supplier partnerships with a focus on professional phone etiquette and clear written correspondence Familiarity with event planning or training & development activities beneficial for supporting team growth Join us as a Trucking Office Administrator to play a pivotal role in streamlining operations while fostering a collaborative work environment.
