Job Description

Overview We are seeking a highly organized, proactive, and customer-focused Office Manager to oversee the daily administrative and operational functions of our growing fencing and decking company. This critical leadership role serves as the central hub between customers, sales, installation crews, vendors, and management, ensuring projects move smoothly from initial consultation through completion. The ideal candidate will have strong administrative, organizational, and leadership skills and thrive in a fast-paced construction and home improvement environment. In addition to managing office operations, this individual will oversee project scheduling, material procurement, crew coordination, and quality control processes to ensure every project is completed efficiently, on time, and to company standards. This is a salaried position with performance-based bonus opportunities. The successful candidate will play a key role in supporting company growth, improving operational efficiency, maintaining exceptional customer satisfaction, and helping drive overall business success. Responsibilities Manage all day-to-day office operations, ensuring efficient administrative processes and a professional work environment. Serve as the primary point of contact for customers throughout the sales and installation process, ensuring a positive customer experience. Coordinate scheduling for sales appointments, site visits, project installations, inspections, and service calls. Manage installation schedules and oversee field crews to ensure projects are completed safely, efficiently, and on schedule. Monitor crew performance, productivity, and job progress while addressing scheduling conflicts and operational challenges as they arise. Conduct quality control reviews throughout and upon completion of projects to ensure workmanship meets company standards and customer expectations. Order and coordinate delivery of fencing, decking, hardware, and other project materials while maintaining proper inventory levels and controlling costs. Build and maintain strong relationships with suppliers and vendors to ensure timely procurement of materials and competitive pricing. Support the sales team by managing leads, customer records, proposals, contracts, and follow-up communications through CRM and office management systems. Assist with project coordination by communicating with installation crews, subcontractors, suppliers, and customers regarding schedules, materials, and project updates. Maintain accurate records through data entry, filing systems, job tracking, and document management. Manage accounts receivable and accounts payable functions, including invoicing, payment collection, bookkeeping support, and vendor payments. Assist management with payroll processing, employee onboarding, personnel records, and administrative support. Monitor project schedules and production calendars to ensure jobs are completed on time and customers remain informed throughout the process. Resolve customer concerns and warranty issues promptly while maintaining high levels of customer satisfaction. Support marketing efforts by managing customer reviews, referrals, social media inquiries, and community outreach initiatives. Prepare reports related to sales activity, project status, production schedules, customer satisfaction, and company performance. Maintain compliance with company policies, safety documentation, permit requirements, and other administrative processes. Skills & Qualifications Proven experience in office management, construction administration, project coordination, operations management, or administrative leadership roles. Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, CRM software, and FreshBooks or similar accounting software. Experience managing project schedules, coordinating field crews, and overseeing multiple active jobs simultaneously. Knowledge of material purchasing, vendor management, inventory control, and construction logistics. Strong customer service and communication skills with professional phone etiquette. Ability to perform quality control inspections and maintain high standards of workmanship and customer satisfaction. Excellent organizational skills with the ability to prioritize multiple responsibilities and meet deadlines in a fast-paced environment. Strong problem-solving skills and the ability to make sound decisions independently. Knowledge of contracts, invoicing, permits, construction documentation, and project management processes is preferred. Bilingual communication skills are highly desirable. Experience in fencing, decking, construction, home improvement, landscaping, or related industries is strongly preferred. Why Join Us?
