Office Manager / BookkeeperJob Summary We are seeking a highly organized and detail-oriented Office Manager / Bookkeeper to support daily financial and administrative operations. This role is responsible for managing bookkeeping functions, payroll, compliance, office administration, and reporting while helping maintain efficient business operations in a growing manufacturing and construction-related environment. The ideal candidate is dependable, proactive, and comfortable managing multiple priorities in a fast-paced setting. Position Details Position starts as a part-time hourly role during onboarding and training Opportunity to transition into a full-time exempt position based on performance and business needs Responsibilities Financial Management & Bookkeeping Manage accounts payable and accounts receivable Process invoices, collections, and vendor payments Maintain accurate financial records and general ledger entries Assist with monthly close, reconciliations, and financial reporting Track cash flow, outstanding invoices, and payables Support preparation of profit & loss statements and balance sheets Assist with job costing and work-in-progress (WIP) reporting Coordinate with external accountants and CPAs as needed Payroll & Compliance Process payroll accurately and on time Maintain employee records and personnel files Assist with payroll tax filings and sales tax reporting Support multi-state registrations, licenses, and compliance requirements Office Management Oversee daily office operations and administrative functions Order office supplies and coordinate with outside vendors Maintain organized filing systems and company records Assist with process improvements and internal controls Support inventory tracking and reporting systems Executive Support & Reporting Provide regular financial and operational updates to leadership Assist with budgeting, planning, and financial decision-making Prepare ad hoc reports as needed Qualifications 3+ years of bookkeeping, accounting, or office management experience Strong understanding of accounting principles and financial reporting Experience with QuickBooks or similar accounting software Experience with job costing or construction/manufacturing accounting preferred Knowledge of multi-state tax or licensing requirements is a plus Strong organizational and multitasking abilities Excellent attention to detail Strong communication and problem-solving skills Positive attitude and team-oriented mindset What Success Looks Like Accurate monthly financial reporting completed on time Accounts receivable and payable managed effectively Organized and audit-ready financial records Strong visibility into job costing and project financials Smooth day-to-day office operations Reliable reporting and support for leadership decision-making Schedule Monday to Friday Day shift
