Job Description

BZA Behavioral Health is hiring a Full-Time Office Manager to provide managerial and administrative oversight for our front office support team, ensuring smooth daily operations and a supportive environment for staff and clients. This is a key leadership role responsible for direct staff supervision, protocol development, and executive administrative support to the practice partners.

We work with children through older adults and we aim to help individuals and families utilize their strengths to cope with life's challenges.
What You'll Do Team Leadership:
Supervise, monitor performance, and address issues for the front office support team, including the Client Care Receptionist and other administrative staff.
Operational Oversight:
Oversee support functions including reception, intake processing, general client care, record requests, file/insurance updates, psychiatry-specific tasks, and supply refilling.
Support & Intervention:
Respond to call escalation and step in to cover support functions as needed.
Scheduling and Time Management:
Create staff schedules, direct daily work, monitor schedule adherence, and review/approve time cards and overtime use.
Onboarding and Training:
Oversee the hiring and training of new support staff.
Performance:
Coordinate and lead performance reviews and run monthly support team meetings.
Policies and Protocols :
Create, update, and maintain support protocols and policies and update BZA forms.
Office Premises:
Visit all BZA office sites monthly to review premises, update signage, and report issues/concerns to leadership.
Coordinate:
Work collaboratively with other members of the leadership and clinical teams to ensure effective and efficient cooperation and coordination between teams.
Financial & Reports:
Provide accounting support (review and categorization of transactions), run monthly receivable reports, and provide other system reports and practice level data as requested.
Credentialing Support:
Provide credentialing and insurance contracting assistance for providers and the practice.
What We're Looking For:
Experience:
Previous experience in office management, supervisory roles, or executive administrative support is essential. Medical/behavioral health office experience is strongly preferred.
Leadership:
Appropriately assertive when providing direction and feedback to staff, with the ability to document performance issues and maintain a positive work environment with a focus on patient care.
Technical Skills:
Proficiency in using computers, EMR systems, and financial software (Quickbooks preferred).
Communication:
Strong interpersonal and communication skills for working with staff, providers, clients, and leadership.
Job Type:
Full-time, Salaried Position Schedule/Availability:
Predictable 9 to 5 schedule, with flexibility to flex hours for office needs. Must work on-site in the Schaumburg office for all work hours.
