Job Description

Job Summary We are seeking a dynamic and highly organized Secretary/Receptionist/Office Manager to join our team! This multifaceted role is essential in ensuring the smooth operation of our office environment, providing exceptional administrative support, and delivering outstanding customer service. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple responsibilities with energy and enthusiasm. You will serve as the first point of contact for visitors and callers, oversee office procedures, and assist with bookkeeping and administrative tasks to keep our workplace efficient and welcoming. Duties Greet visitors warmly, answer multi-line phone systems with professionalism, and direct calls to appropriate team members using excellent phone etiquette Manage front desk operations, including scheduling appointments, handling incoming inquiries, and maintaining a professional reception area Oversee office management tasks such as supply ordering, filing, data entry, and maintaining organized records Utilize computer skills to prepare correspondence, proofread documents, and support clerical functions using Microsoft Office and Google Workspace tools Perform bookkeeping duties with QuickBooks, including invoicing, expense tracking, and basic financial record keeping Coordinate calendar management and schedule appointments for staff or executives efficiently Support customer service efforts by providing timely assistance and resolving inquiries with a friendly attitude Maintain accurate filing systems—both electronic and paper—and ensure confidentiality of sensitive information Assist with personal assistant responsibilities when needed, including travel arrangements or special project support Skills Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with QuickBooks for bookkeeping tasks and data entry processes Excellent communication skills in both English and bilingual options (if applicable), with professional phone etiquette Strong clerical experience including filing, proofreading, typing accuracy, and document preparation Ability to handle multi-line phone systems efficiently while providing exceptional customer support Demonstrated time management skills to prioritize tasks effectively in a fast-paced environment Experience with calendar management and scheduling software to coordinate appointments seamlessly Knowledge of office equipment such as printers, scanners, and fax machines along with computer literacy skills Join us to be a vital part of an energetic team dedicated to creating a positive workplace atmosphere!
