$19.00-$26.00 per hour, based on experience About Achieve Orthopedic Sports Institute Achieve Orthopedic Sports Institute is a specialized physical therapy and sports medicine facility focused on orthopedic injury rehabilitation, injury prevention, performance enhancement, medical management of athletes, and community outreach. We are seeking a motivated, organized, and personable Front Office Manager to join our team. This role serves as the first point of contact for patients, families, visitors, and referral sources. The ideal candidate is welcoming, detail-oriented, professional, and able to effectively manage multiple responsibilities in a fast-paced healthcare environment. The Front Office Manager works closely with the Clinic Director and Billing Director and plays a vital role in creating an exceptional patient experience. Essential Duties and ResponsibilitiesPatient Experience & Customer Service Greet patients and visitors in a prompt, courteous, professional, and welcoming manner. Provide exceptional customer service and create a positive clinic experience. Handle challenging patient or parent interactions professionally and effectively. Answer and direct incoming phone calls and messages. Administrative Responsibilities Maintain a clean, organized, and professional front desk and lobby area. Verify insurance benefits and patient demographic information. Schedule, confirm, modify, and manage patient appointments. Prepare and maintain patient records and documentation. Scan, upload, fax, and manage patient-related documents within the electronic medical record system. Communicate with physician offices, insurance companies, patients, and clinic staff as needed. Collect patient payments, including co-pays, deductibles, and durable medical equipment payments. Assist with clinic reporting, administrative projects, and daily office operations. Team Support Collaborate closely with therapists, administrative staff, and leadership. Assist in supervising and delegating tasks to part-time clinical technicians when appropriate. Follow established front office procedures and protocols to support clinic efficiency. Promote a positive, health-focused clinic culture and environment. Community Engagement Participate in occasional off-site events, including community outreach programs, injury screenings, volunteer opportunities, and marketing events. QualificationsRequired High school diploma or equivalent. Previous administrative, customer service, or clerical experience. Strong interpersonal, organizational, and communication skills. Ability to multitask and manage time effectively in a busy environment. Proficiency with Google Workspace (Gmail, Google Drive, Google Docs, and Sheets), email, and Microsoft Excel. Commitment to maintaining patient confidentiality and HIPAA compliance. Preferred 3-5 years of administrative or clerical experience, preferably in a healthcare or medical office setting. Interest in health, fitness, sports medicine, or athletics. Experience working with electronic medical records (EMR) systems and verifying insurance.
