In this vital role, you will serve as the central point of contact for administrative functions, ensuring smooth workflows, exceptional customer service, and efficient office management. Your proactive approach will foster a welcoming atmosphere for staff, clients, and visitors alike. The ideal candidate is energetic, detail-oriented, and possesses strong communication skills to handle multiple responsibilities with confidence and professionalism. Duties Oversee front desk operations, greeting customers and managing the phone system with professionalism and courtesy Maintain organized filing systems, manage data entry tasks, and ensure accurate record-keeping using tools like Microsoft Office and Google Workspace Handle calendar management, scheduling appointments, meetings, and coordinating personal assistant duties as needed Manage office supplies inventory, place orders, and coordinate with vendors to ensure a fully functional workspace Provide exceptional customer support through phone etiquette, clerical assistance, and addressing inquiries promptly Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices Support office management activities including proofreading documents, organizing files, and maintaining office procedures Skills Proven experience in office management or administrative roles with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy Excellent communication skills in both English and bilingual capabilities preferred to serve diverse clients and staff, but not a requirement Familiarity with multi-line phone systems, data entry, filing systems, and calendar management tools Strong customer service orientation with professional phone etiquette and interpersonal skills Experience with bookkeeping software such as QuickBooks along with general clerical experience including proofreading and data entry Ability to multitask efficiently while managing time effectively in a fast-paced environment, and works well under pressure Knowledge of medical or dental receptionist duties is a plus but not required; personal assistant experience is advantageous Join us as an Office Manager to lead our administrative team with enthusiasm!
