Job Description

To perform this position successfully, an individual must be able to perform each essential function of the position satisfactorily. Incumbent serves as Records Manager for the White County Sheriff's Office, responsible for ensuring administrative duties are completed to provide support to department operations.
DUTIES:
Administrator for the Department's Records Management System. Enters warrants and expired warrants, including returning warrants after served, and receiving tax warrant payments. Enters and expires protective orders, and immediate possession papers. Makes bank deposit for Jail facility. Records payroll and claims for Sheriff's Department and Jail facility. Maintains and updates Jail log of detainees within Jail facility, and individuals bonded. Performs duties of Office Manager and/or Receptionist in their absence. Proofreads case reports and forwards to Prosecutor's office. Conducts criminal background checks. Coordinates Child ID booth for fair and County festivals. Enters and returns transport orders. Retrieves gun permits and submits to State of Indiana. Answers telephone and provides assistance for accidents and case reports. Assists Evidence Clerk in maintaining and destroying court ordered evidence. Performs related duties as assigned.
I. JOB REQUIREMENTS AND DIFFICULTY OF WORK
High school diploma or HSE. Ability to meet all employer and department hiring and retention requirements, including passage of a drug test. Working knowledge of standard office procedures and ability to apply such knowledge to a variety of interrelated processes, tasks and operations. Working knowledge of standard bookkeeping practices and principles, and ability to make arithmetic calculations, and maintain complete financial records. Working knowledge of standard English grammar, spelling, and punctuation, and ability to prepare correspondence and documents as required. Knowledge of basic filing systems and ability to create and maintain accurate and complete Department files. Ability to properly operate standard office equipment, such as computer, typewriter, calculator, fax machine, copier, and telephone. Ability to effectively communicate orally and in writing with co-workers, and other County departments, local law enforcement, Child Protective Services (CPS), Indiana State Police, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities. Ability to provide public access to or maintain confidentiality of department information and records according to state requirements. Shall comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct. Ability to understand, memorize, retain, and carry out oral and written instructions and present findings in oral or written form. Ability to work alone with minimum supervision and with others in a team environment, work on several tasks at the same time, and work rapidly for long periods, often under time pressure. Ability to apply knowledge of people and/or locations, and occasionally plan and layout assigned work projects. Ability to read and interpret detailed prints, sketches, layouts, specifications, and maps. Ability to occasionally travel out of town for training, but not overnight.
II. RESPONSIBILITY
Incumbent performs duties according to supervisor. Assignments and objectives are set jointly by incumbent and immediate supervisor by following standard operating procedures or policy and procedural manuals. Decisions are always determined by specific instructions or existing, well-established policies and procedures. Errors in work are primarily detected or prevented through notification from other department, agencies, or the public. Undetected errors could result in inconvenience to other agencies or the public.
III. PERSONAL WORK RELATIONSHIPS
Incumbent maintains frequent contact with co-workers, and other County departments, local law enforcement, Child Protective Services (CPS), Indiana State Police, and the public for the purpose of giving and receiving information. Incumbent reports directly to the Sheriff.
IV. PHYSICAL EFFORT AND WORK ENVIRONMENT
Incumbent performs duties in a standard office environment, involving sitting/walking at will, sitting for long periods, lifting/carrying objects weighing less than 25 pounds, bending, crouching/kneeling, reaching, keyboarding, close/far vision, hearing sounds/communication and speaking clearly.
