Full Job Description Primary Purpose:
This position is part of the Masonic Homes Kentucky (Masonic) Management Team, responsible for the creation of resident-focused, high performance, high-commitment work teams. The Business Office Manager is responsible for all areas of accounting business operations for Crescent Grove Memory and Personal Care and Grove Pointe Assisted Living, ensuring that areas of responsibility are operating effectively and efficiently. Excellent communication, problem-solving, decision-making and managerial skills are the foundation for success as this role is responsible for financial operations.
Qualifications/Skills Needed:
Medicare/HMO insurance billing, including how to follow up on denials and resubmit LTC Claims/Denials, including SSI Collections, payments, credits & aging reports Reconciliation of month end billing; management of UB scrubber reports H.S. Diploma, GED, and some college or two years related experience and/or training preferred. Proven leadership skills; experience managing and leading teams or processes. Communicates effectively with individuals at all levels of the organization, both verbally and written. Advanced problem solving and decision making skills. Strong data collection and analysis skills. Handles sensitive and confidential situations appropriately, demonstrating poise, tact and diplomacy. Possesses a high level of attention-to-detail. Able to work in a fast-pace environment with ability to juggle multiple competing tasks and demands. Able to work well independently as well as assisting/coordinating with others. Experience in long term care billing. Requires efficiency in computer skills including but not limited to billing systems (such as Vision) and MS Office Suite (especially Excel, Outlook and Word). Experience with Vision medical software system, a plus. Primary Duties (Essential Functions) include but are not limited to:
Primary Duties:
Produces and mails monthly billing statements (Medicare Part B, Hospice and private pay) for Crescent Grove Memory & Personal Care and Grove Pointe Assisted Living. Assures billing information is correctly entered into Vision software for new and readmitted residents, including collecting documents. Assists residents and family members with billing concerns or questions. Follows up on denied long term care claims monthly and as needed. Distributes Medicare and HMO denial letters timely. Provides Medicaid billing support as needed. Processes collections, payments (including cash), credits and aging reports. Reconciles month end billing and manages UB Scrubber Reports. Manages RTA deposits, withdrawals and cost shares. Manages financial files of current and discharged residents of Crescent Grove and Grove Pointe. Assists with opening estates, as needed. Acts as backup for admission document signature for families. Produces rate increase letters and refers accounts to the Corporate Resource Center. Processes, keys/codes invoices, and ensures Administrator approval. Acts as liaison to vendors and troubleshoots concerns. Monitors, reviews and audits prospective resident financial information upon admission (within 72 hours) and collects payments. Requests asset checks from Corporate Resource Center. Managers the ACH process and issues timely refunds. Keys in supply charges. Manages SSI claims for Crescent Grove. Conducts insurance verifications for outpatient therapy.
Administrative Duties:
Participates in monthly Quality Assurance team meetings. Collects daily census data and routes to appropriate individuals. Participates in monthly accounts receivable calls. Understands and adheres to local, state and federal regulations. Understands and adheres to established Masonic policies and procedures. Provide backup coverage to key staff when necessary.
