Job Description

Job Summary We are seeking a dynamic and highly organized Office Coordinator to join our team! In this vital role, you will oversee daily office operations, coordinate administrative tasks, and ensure a smooth workflow across departments. Your energetic approach and exceptional communication skills will help foster a productive environment, support team management, and enhance overall office efficiency. This position offers an exciting opportunity to lead administrative functions, manage vendor relationships, and contribute to a positive workplace culture. Responsibilities Manage daily office operations, including front desk duties, multi-line phone systems, and calendar management for staff and executives. Coordinate scheduling of meetings, appointments, and events with attention to detail and timely follow-up. Supervise administrative staff and provide training & development to ensure high performance and professional growth. Oversee vendor management activities, including negotiating contracts, processing invoices with QuickBooks, and maintaining vendor relationships. Handle bookkeeping, payroll processing, budgeting support, and human resources functions such as onboarding new employees and maintaining personnel records. Organize office supplies inventory, filing systems, and medical or other specialized records to ensure compliance and accessibility. Support office management initiatives that promote a positive work environment and streamline administrative workflows. Skills Proven experience in office administration, clerical work, or office management roles with strong organizational skills. Excellent communication skills with professional phone etiquette and the ability to handle multi-line phone systems confidently. Demonstrated experience in event planning, scheduling management, and vendor relations. Proficiency in QuickBooks for financial transactions and bookkeeping tasks. Knowledge of human resources processes including payroll administration and employee training & development. Strong multitasking abilities with exceptional attention to detail in filing, record keeping, and calendar management. Experience in medical office management or similar environments is a plus; familiarity with front desk operations is highly valued. Pay:
$15.00 - $18.00 per hour
