Job Description

Job Overview We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth and efficient functioning of our Real Estate office environment. Your energetic approach and attention to detail will help foster a productive workspace, support team members, and enhance overall office productivity. This position offers an exciting opportunity for someone with strong administrative skills, creativity, excellent customer service abilities, and a passion for maintaining an organized and welcoming office atmosphere. Responsibilities Manage front desk operations, greeting visitors and clients with professionalism and warmth. Providing exceptional customer support. Perform data entry, filing, and document proofreading to ensure accuracy and organization of records. Coordinate calendar management, scheduling appointments, meetings, and maintaining staff availability. Utilize software tools such as Microsoft Office, Google Workspace, QuickBooks, and other computer applications to streamline office processes. Oversee office management tasks including supply inventory, equipment maintenance, and general administrative support. Provide clerical assistance with tasks such as typing correspondence, managing emails, and supporting bookkeeping activities. Creativity with overseeing social media outlets and marketing. Qualifications Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy. Experience with QuickBooks or similar bookkeeping software is preferred. Excellent communication skills in both English and bilingual capabilities are a plus. Demonstrated ability to handle multi-line phone systems and provide exceptional customer service. Strong clerical skills including data entry, filing, proofreading, and time management. Previous experience as a receptionist (dental or medical) or personal assistant is advantageous. Ability to prioritize tasks efficiently while maintaining attention to detail in a fast-paced environment.
