Job Description

Hopkinton Center for the Arts is seeking a highly organized, customer-focused Front Desk Administrator to support the day-to-day operations of our busy nonprofit arts center. This is a dynamic, hands-on role for someone who enjoys working with the public, managing multiple priorities, and helping create a welcoming and efficient environment for students, patrons, artists, and staff.
Schedule:
Monday-Friday, 1:00 - 9:00 pm Position Summary This position serves as a key point of contact for visitors, students, instructors, volunteers, and staff. This role oversees front desk operations, supports program logistics, coordinates facility needs, and helps ensure smooth administrative operations across the organization. Key Responsibilities Front Desk & Customer Service Serve as the primary front desk representative, greeting visitors and providing exceptional customer service. Answer phones, respond to inquiries, and assist customers with class registrations, event ticket sales, memberships, and general questions. Manage and train high school and volunteer front desk staff. Oversee box office operations and train staff as needed. Assist with art drop-off, pickup, and art sales coordination. Administrative Operations Manage memberships, including tracking and customer support. Process art sales and maintain accurate transaction records. Monitor and maintain office supply inventory; place orders as needed. Manage kitchen supplies and general facility organization. Serve as the point of contact for deliveries, including event and beverage deliveries. Coordinate with vendors, utility providers, and tradespeople for facility-related needs. Volunteer & Program Support Recruit, schedule, and manage volunteers for front-facing and operational needs. Oversee the Hopkins walk-up program, including stepping in directly when volunteers are unavailable. Assist the Director of Programming with class rosters and other program administration. Populate and maintain multiple online event calendars. Continuously monitor and verify the accuracy of CalendarWiz listings. Facility Operations Perform building close-out procedures and secure the facility at the end of the day. Manage return-to-zero procedures for designated classrooms and shared spaces. Help maintain a clean, safe, and welcoming environment throughout the building. Qualifications Strong customer service and communication skills. Excellent organizational skills with the ability to manage multiple tasks simultaneously. Experience supervising staff or volunteers preferred. Comfortable with online registration systems, calendars, and office software. Ability to work independently, solve problems, and adapt in a fast-paced environment. Interest in the arts, community programming, or nonprofit work is a plus. Ideal Candidate The ideal candidate is personable, detail-oriented, and proactive—someone who can seamlessly move between customer service, administrative coordination, and operational support while helping Hopkinton Center for the Arts deliver an exceptional experience for the community.
Pay:
$25.00 per hour
