Green Wave Electric Vehicles is growing in Salem, Massachusetts and we are looking for someone who wants to get into the EV industry at the ground floor as we take the electrification of transportation to the next level.
Position Overview:
The Green Wave Electric Vehicle Office Administrator (EVOA) is responsible for ensuring a smooth flow of operations for all partners and team members in the value chain. The EVA will interact with team members, clients, vendors, regulators, and partners to ensure the highest quality in customer service, timeliness and accuracy of data and reporting, and compliance with applicable regulations. Tasks will range from basic accounting and client contact to coordination with repair shops and transporters, as well as completing required documentation with state agencies and lenders. The EVOA will need to know all aspects of the business, and will receive extensive training and support to become proficient.
Qualifications:
Valid driving license and clean driving record, as well as being able to pass a criminal background check. Undergraduate Degree preferred. Experience and skill with Microsoft Office (Word, Excel) required. Basic knowledge of accounting required (Journal entries, AP/AR, P&L, Compliance). Positive attitude and friendly approach with customers, co-workers, and vendors. Notary Public Certification preferred. Experience with Voice-Over IP phone system preferred. Experience with a Customer Relationship Management (CRM) software, like Salesforce, preferred.
Physical requirements:
Ability to bend, lift up to 30 lbs, get into and out of all types of vehicles, and sit for extended periods in an office chair.
Responsibilities:
Greet clients in the showroom, answer phones, respond to client emails, and document client contact in the CRM software. Work with vendors to ensure timely and accurate payment of invoices, manage purchase orders, invoices, and receipts, and record expenditures in the accounting software. Perform other accounting tasks as necessary. Interact with lenders and clients to ensure accurate completion of loan documents, satisfaction of stipulations, and funding of deals. Work with clients to complete vehicle sale, license, tag, and title paperwork in compliance with state law, and will ensure timely and proper filing of documents. Be responsible for maintaining the Green Wave filing system and ensuring organization of critical documents both in paper and electronically. Other duties as assigned. This is a Full Time Non-Exempt Position (hourly and eligible for overtime), working at least 40 hours per week every week. Standard hours are 10 a.m
m. Monday through Friday with a 1 hour lunch break. Additional hours may be available on an as-needed basis.
