If that's you, then we have an opportunity for you: About the Role Eco Auto is looking for an experienced dealership office manager who can also serve as the Executive Assistant to the CEO . This is a high-trust, high-responsibility role for someone who understands dealership office operations, paperwork, deadlines, compliance, funding, titles, registrations, and accounting flow but also has the professionalism, organization, and communication skills to support the CEO directly. This is not a basic administrative role. We are looking for someone who can bring order, follow-up, structure, and accountability to a fast-moving dealership environment. Key Responsibilities - Dealership Office Management Manage deal flow from sale to funding Track titles, registrations, payoffs, funding, and missing documents Support accounting, office, sales, and service administrative processes Communicate with lenders, vendors, customers, and internal team members Ensure paperwork accuracy and deadline follow-through Help create cleaner systems for office operations Reduce errors, delays, and loose ends Additional Responsibilities Executive Assistant to CEO Manage CEO calendar, scheduling, and daily priorities Help organize CEO email, follow-ups, reminders, and tasks Prepare meeting agendas, notes, and action items Track important deadlines and make sure nothing falls through the cracks Assist with documents, investor materials, hiring coordination, and special projects Follow up with team members on behalf of the CEO Protect confidentiality at all times Ideal Candidate The ideal candidate has dealership office experience and is highly organized, calm under pressure, detail-oriented, and comfortable working directly with an owner/CEO. You must be able to handle fast-moving priorities, sensitive information, and multiple departments without getting overwhelmed. Requirements Prior dealership office experience required Office manager, title clerk, accounting office, controller assistant, or similar background preferred Strong understanding of deal jackets, titles, registrations, payoffs, funding, and lender paperwork Excellent follow-up and organizational skills Strong written and verbal communication Comfortable with Google Workspace, email, calendars, spreadsheets, and documents High level of confidentiality and professionalism Ability to manage multiple priorities in a fast-paced environment Comfortable holding people accountable and following up until tasks are complete This Role Is a Fit If You Are Extremely organized Detail-oriented Calm and professional Strong with dealership paperwork Good at follow-up Comfortable working directly with leadership Able to bring structure to chaos Loyal, discreet, and dependable Someone who takes ownership instead of waiting to be told every step This Role Is Not a Fit If You Do not have dealership office experience Struggle with follow-up Avoid paperwork or details Get overwhelmed easily Do not like working directly with owners or executives Are uncomfortable with accountability, deadlines, or confidentiality Why Join Eco Auto Eco Auto is building the dealership of the future, focused on EVs, hybrids, plug-ins, service, and sustainable transportation.
