Job Description

Position Summary :
The Office Administrator will perform administrative tasks and services to support effective and efficient operations within the facility.
Essential Job Functions and Duties:
Answer incoming calls and direct inquiries to the appropriate team members in a timely and professional manner Maintain and update the Enterprise tracking spreadsheet, including coordinating vehicle pickups and deliveries with Enterprise and other vendors Serve as a safeguard for inventory management, including performing cycle counts and ensuring Ranger/Adrian carts are properly stocked and free of unnecessary items Assist with vendor warranty claims, including resolving issues related to missing or damaged products Support Accounts Payable by receiving purchase orders and verifying that delivered quantities match corresponding purchase orders Assist in communication and coordination with multiple Enterprise representatives Accurately record vehicle VINs and track all vehicle movements and status updates Respond to Accounts Payable inquiries regarding invoices and confirm when bills are ready to be received Ordering parts listed on the shared spreadsheet from sales Managing Road Redi appointments and process Order and ship State Farm Warranty claims Complete other duties as assigned
Position Qualifications and Experience:
Proven office administrative or assistant experience Excellent time management skills, ability to multitask, and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills Proficiency in MS Office General Accounting Skills Knowledge of Business Central helpful but not required Strong Customer Service skills Strong work ethics and team-oriented attitude
Physical Demands/Work Environment:
Must be able to complete physical activities (walking, standing, talking, kneeling, hearing, pushing, reaching, seeing, stooping/crouching, smelling, depth perception, identifying colors) as needed Frequently lifting and/or carrying of objects weighing over 10lbs and occasionally up to 50lbs Frequently exposed to moving mechanical parts Participate in required company safety programs, training programs and PPE guidelines
