Job Description:
ProspectBlue is seeking a skilled Office Administrator to lead the day-to-day functions of an Am Law100 firm in their Baltimore office. This role offers the chance to play a key part in supporting office operations and fostering an inclusive, collaborative workplace where employees and attorneys can succeed. The ideal candidate is a proactive leader who is passionate about delivering exceptional internal service and capable of managing a wide range of responsibilities across operations, staff leadership, facilities coordination, hospitality, and office administration. This position requires flexibility, strong judgment, and the ability to respond effectively to shifting priorities in a fast-paced environment. This is an in-office position. Key Responsibilities
  • Direct daily office operations, including oversight of administrative support staff, conference services, mail operations, document production, and hospitality functions.
  • Coordinate and lead office meetings, employee gatherings, client-facing events, business development activities, and community engagement initiatives.
  • Manage office facilities and maintenance needs while serving as the primary contact for building management and related vendors.
  • Facilitate onboarding activities for new employees and identify ongoing training and professional development opportunities for staff.
  • Support budgeting and financial planning efforts, including monitoring and reporting on monthly budget performance.
  • Maintain office safety and security procedures and help ensure business continuity standards are upheld.
  • Participate in firmwide operational initiatives and collaborative projects designed to improve internal processes and client service delivery. Qualifications
  • Bachelor's degree required.
  • At least seven years of management experience within a mid-sized or large law firm.
  • Demonstrated leadership ability with strong organizational, communication, and team management skills.
  • Excellent interpersonal skills with the ability to exercise sound judgment and professionalism.
  • Proven ability to manage multiple priorities and work efficiently in a deadline-driven setting.
  • Strong analytical thinking, problem-solving, and follow-up capabilities.
  • Proficiency with Microsoft Office applications.
Interest in leveraging emerging technologies and innovative tools to improve workflow efficiency, including AI-enabled platforms that support higher-value work and streamline routine administrative tasks.
