Job Description

Brookeville Beer Farm — a family-owned Maryland craft brewery — is hiring a full-time Office Administrator to keep our back office running smoothly. This is a hands-on, clerk-style role perfect for someone with some office experience who wants steady, varied work in a friendly small-business setting. You'll touch a little bit of everything: scanning and filing invoices, matching receipts, entering data into QuickBooks, running bank deposits, and restocking office supplies. We'll train you on the brewery-specific tools (Ekos, Fintech, iControl, Airtable) — what matters most is that you're organized, dependable, and comfortable bouncing between paperwork, a computer, and the phone. If you like checking things off a list, enjoy keeping other people organized, and want to work somewhere your day-to-day is predictable but never dull, we'd love to hear from you.
Compensation:
$20
  • 26 per hour, depending on experience level

WHAT YOU'LL DO
Daily Administrative Work Scan invoices daily and keep our shared Google Drive organized and up to date Match receipts to transactions and flag anything missing Enter invoices and receipts into QuickBooks Export Ekos order data into Airtable so the sales team has current last-order information Accounts Receivable & Payments Organize incoming invoices by payment method (Fintech, ACH, credit card) and terms (Due on Receipt, Net 10/15/30) Reconcile sales payments in QuickBooks against checks, ACH deposits, and credit-card settlements Follow up with past-due customers by email and phone to collect outstanding balances Process keg returns through Ekos before payments are applied Prepare and deposit sales payments at the bank once or twice per week Weekly & Monthly Reporting Build a weekly missing-receipts list every Monday Update the Wholesale GP Metrics spreadsheet every Friday morning Complete and submit ABRA (alcohol regulatory) forms, and send copies to wholesale customers Wholesale Order Support Process wholesale orders through third-party platforms, including iControl and Fintech Office & Supply Management Keep the brewery office stocked — paper goods, pens, notepads, soap, staples, printer paper and ink, and more Coordinate with our other offices to restock the items they need
QUALIFICATIONS
What We're Looking For 6 months to 1 year of office, clerical, or administrative experience preferred Comfortable with email, basic spreadsheets, and general computer tasks; willing to learn QuickBooks, Ekos, Airtable, Fintech, and iControl (QuickBooks familiarity is a plus, not required) Strong organizational skills — you enjoy keeping things filed, labeled, and current Professional phone and email manner for light collections calls and customer coordination Attention to detail with numbers, invoices, and paperwork Reliable, punctual, and comfortable working independently once trained Friendly, team-oriented attitude — this is a small business where everyone helps each other out Nice to Have Prior experience with QuickBooks or another bookkeeping system Previous work in the beverage, food service, or hospitality industry Customer service or accounts receivable experience
